Understanding Global Search

Global Search allows you to search several vaults at one time and it combines the results into one view. Global Search is the only search method in Web Access that will find text in memo properties or in document content.

To search with Global Search:

1. Click the Global Search icon in the toolbar. The Find Documents dialog box appears showing the Current criteria list of properties configured by a system administrator.
2. Type all or part of the document name in Name. The wildcard characters ? (any single character) and * (any string of characters) are accepted. The effective search criteria will be the combination of the Name criteria and the criteria in Current criteria list.

3. The default criteria in Current criteria list are properties configured by a system administrator. Select any that you want included in the search.

   To add a criterion to the list:

   1. Select an option from Property.
   2. Select a search condition.
   3. Type your desired search text in Value.
   4. Click Add to List.
   5. Repeat steps a to d to add more criteria.
   6. Select All these criteria must be met to combine all the selected criteria.
4. To search multiple vaults, click the Vaults tab, select the vaults to search in the right column and click the left arrow button to add them to the left column.
5. To change the order in which the vaults are searched, hover the pointer over the vault name you want to move within the list until a boxed arrow icon appears. Click the arrow that corresponds to the direction you want to move the vault name within the list. Repeat until the vaults are listed in the correct search order.
6. Click Find Now to run the search. Click Close to abort the search. The Search results page appears.
